The idea
The request is polite Konjunktiv II: “Könnten wir den Beginn auf 15 Uhr vorziehen und bis 18 Uhr bleiben?” and “wäre Raum Eiche ebenfalls möglich”. The reply contrasts an offer and a limitation with jedoch: “dort gibt es jedoch keinen Bildschirm”. The decisive sentence is “Bis dahin bleibt Ihre bisherige Buchung bestehen”, where bestehen bleiben means remain valid. Note “vor 16 Uhr belegt” for an occupied room.

Dokument A, Bestätigung vom 2. November: „Raum Birke ist am 18. November von 16 bis 18 Uhr für Ihre Gruppe reserviert. Ein Bildschirm steht bereit. Bitte bringen Sie Ihren eigenen Adapter mit.“
Dokument B, Anfrage vom 5. November: „Könnten wir den Beginn auf 15 Uhr vorziehen und bis 18 Uhr bleiben? Falls Birke nicht frei ist, wäre Raum Eiche ebenfalls möglich. Wir benötigen weiterhin einen Bildschirm.“
Dokument C, Antwort vom 6. November: „Birke ist vor 16 Uhr belegt. Wir können Ihnen Eiche von 15 bis 18 Uhr anbieten, dort gibt es jedoch keinen Bildschirm. Bitte bestätigen Sie, ob Sie dieses Angebot annehmen. Bis dahin bleibt Ihre bisherige Buchung bestehen.“

Watch out
Readers may assume the move to Eiche is settled because it was requested and offered. Neither a request nor an offer is a confirmation: “Bitte bestätigen Sie, ob Sie dieses Angebot annehmen.” The task adds: “Keine Nachricht bestätigt bisher, dass die Gruppe Eiche annimmt.” The original Birke booking still stands.
