The idea
Welche plus noun asks for a specific value: welche Personenzahl. “Bestätigt sein” describes the confirmed state. Mitzählen (separable) means to be included in the count: “Zählt … mit?” “Aus etwas hervorgehen” means to be evident from something: “Das geht aus der Nachricht nicht hervor.” Eindecken is the trade word for laying the tables. Anschließend means afterwards.
Other ways to say it
“Mit wie vielen Gästen rechnen wir?” – Neutral; rechnen mit means to plan for.
“Ist das die endgültige Zahl?” – Neutral; checks whether the number can still change.
“Sind die Veranstalter in den achtundzwanzig schon drin?” – Informal; drin sein means to be included.

Watch out
“Zählt das Organisationsteam dabei schon mit an?” → “Zählt das Organisationsteam dabei schon mit?”: Mitzählen has only one prefix, mit, which goes to the end. Learners add an extra particle by analogy with English “count in” or with verbs like anrechnen.
