The idea
Während plus genitive gives the period: während meiner Abwesenheit, während des Urlaubs. Die Vertretung means both the act of covering and the person who covers; “Frau Kaya vertritt mich” is a common alternative. Offene Vorgänge are open cases or files. “An jemanden übergeben” uses an plus accusative: an sie. Out-of-office emails in German typically name the period, the cover and the cover’s contact details.
Other ways to say it
“In dringenden Fällen wenden Sie sich bitte an Frau Kaya.” – Formal; the classic sentence in an out-of-office email.
“Frau Kaya vertritt mich vom 3. bis 14. Mai.” – Neutral and compact; names cover and dates.

Watch out
“Während meine Abwesenheit übernimmt Frau Kaya die Anfragen.” → “Während meiner Abwesenheit übernimmt Frau Kaya die Anfragen.”: Während takes the genitive, so the feminine possessive needs -er: meiner. Learners often leave the nominative form because the genitive is rare in their speech.
