The idea
Write to tradespeople, inspectors or property managers with Sie. The message has four parts: confirmation, a request for advance notice, practical directions, and a condition for extra needs. Formal verbs help: ermöglichen (make possible), ankündigen (announce), Bescheid geben (let know). “Etwa eine halbe Stunde vorher” gives a flexible time. “Falls Sie … benötigen, geben Sie mir vorher Bescheid” combines a condition with a polite imperative.
Other ways to say it
“Bitte rufen Sie mich kurz an, wenn Sie unterwegs sind.” – Neutral and practical; asks for a call on the way.
“Ich lasse Sie gern am Haupteingang herein.” – Friendly; “hereinlassen” means to let someone in.

Watch out
“Bitte kündigen Sie Ihre Ankunft etwa eine halbe Stunde vorher.” → “Bitte kündigen Sie Ihre Ankunft etwa eine halbe Stunde vorher an.”: Ankündigen is separable; without “an” the verb becomes kündigen, which means to give notice on a job or contract.
