The idea

A formal email to a company has a Betreff (e.g. “Korrektur der Rechnungsanschrift, Rechnung R24”), the greeting “Sehr geehrte Damen und Herren,” and a lower-case first word after the comma. Write Sie, Ihnen, Ihr with capitals. Structure: problem, missing detail, reference number, request, limit (“Die übrigen Angaben sollen unverändert bleiben”), thanks. Close with “Mit freundlichen Grüßen” and your full name. “Die Anschrift” is the formal word for address.

Other ways to say it

“Könnten Sie mir die Rechnung bitte mit korrigierter Adresse erneut zusenden?” – Polite Konjunktiv II question; standard customer tone.

“In der Rechnungsadresse fehlt die Angabe „2. OG“.” – Neutral and very precise; OG stands for Obergeschoss (floor).

Watch out

“Bitte senden sie mir eine neue Fassung.” → “Bitte senden Sie mir eine neue Fassung.”: The polite Sie is always capitalised. Lower-case sie means “they” or “she” and makes the request unclear and impolite.

Try it yourself

  1. Translate into German: My address is incomplete on your invoice.

Auf Ihrer Rechnung ist meine Anschrift unvollständig.

“Auf Ihrer Rechnung” uses auf + dative for information on a document. Capital “Ihrer” refers to the company, and “unvollständig” names the problem.

  2. Put the words in order: Beispiel / Die / diesem / in / lautet / R / Rechnungsnummer / vierundzwanzig

“Lauten” is the formal verb for quoting numbers or names. “In diesem Beispiel” marks the number as a sample within the lesson.

  3. Write this sentence in German: Thank you for a brief confirmation of the correction.

Vielen Dank für eine kurze Bestätigung der Korrektur.

“Vielen Dank für” takes the accusative. Thanking in advance for “eine kurze Bestätigung” politely asks for a reply without demanding it.
