Ask for clarification of an invoice’s service description in German

The idea

Write formally with Sie and the invoice number in the Betreff. Name the item exactly as printed (“Es geht um den Posten …”). Indirect questions put the verb last: “welche konkrete Tätigkeit damit gemeint ist”. “Damit” refers back to the item. Give your reason with “Ich möchte … zuordnen können”, a double infinitive at the end. Confirm the rest as “nachvollziehbar” (understandable), and ask for a written explanation “dieses einen Postens” only.

Other ways to say it

“Was genau verbirgt sich hinter dem Posten „zusätzliche Bearbeitung“?” – Neutral; “sich verbergen hinter” means to be behind a label.

“Ich kann diesen Posten keinem Teil des Auftrags zuordnen.” – Formal and slightly firmer; states the problem plainly.

Watch out

“Bitte erklären Sie mir, welche Tätigkeit ist damit gemeint.” → “Bitte erklären Sie mir, welche Tätigkeit damit gemeint ist.”: An indirect question after erklären is a subordinate clause, so “ist” moves to the end, after the participle gemeint.

   “Über eine Erläuterung” comes first, so “würde” follows. “Dieses einen Postens” is genitive and stresses that only one item is in question.
