The idea
Write formally to an institution with Sie, “Sehr geehrte Damen und Herren” and a Betreff such as “Anfrage Gruppenraum am Samstag”. Use “wir” when you write for a group. “Etwas anfragen” is the formal verb for requesting availability. Give facts in a separate sentence (“Geplant sind fünf Personen für ungefähr neunzig Minuten”). Requests use the Sie imperative with bitte: “Bitte nennen Sie uns …”, “Informieren Sie uns auch über …”.
Other ways to say it
“Ist am Samstag noch ein Gruppenarbeitsraum frei?” – Neutral, short question; fine for a booking form.
“Wir würden gern für Samstag einen Gruppenraum reservieren.” – Polite Konjunktiv II; assumes rooms can be reserved.

Watch out
“Geplant sind fünf Personen für ungefähr neunzig Minuten lang.” → “Geplant sind fünf Personen für ungefähr neunzig Minuten.”: Für already expresses duration here, so adding lang doubles it. Use either “für neunzig Minuten” or “neunzig Minuten lang”.

“Möchten” plus infinitive at the end is the polite request form. “Einen ruhigen Raum” is masculine accusative, so the adjective ends in -en.

Wir benötigen keine besondere technische Ausstattung.
“Benötigen” is the formal word for brauchen. “Keine besondere technische Ausstattung” negates the whole noun phrase with kein, and both adjectives end in -e.

“Abstimmen” (to agree, coordinate) is separable: “stimmen … ab”. “Nach Ihrer Antwort” comes first, so “stimmen” follows in second place.
