The idea
Write formally with Sie and “wir” for your organisation. Structure: needs, a direct W-question, a request about restrictions, and what you will confirm later. “Zur Verfügung stehen” (to be available) is a fixed formal phrase. “Zusätzlich” adds a second need. “Befestigen können” (to be able to attach) puts two infinitives at the end after möchten. “Die genaue Teilnehmerzahl können wir … bestätigen” shows what is still open.
Other ways to say it
“Gibt es im Raum einen Beamer und eine Pinnwand?” – Neutral yes/no question about specific items.
“Dürfen wir Plakate mit Klebeband an die Wand hängen?” – Polite permission question; avoids damage disputes.

Zusätzlich möchten wir Papier an einer Wand befestigen können.
Welche Ausstattung steht im angebotenen Raum bereits zur Verfügung?
Bitte teilen Sie uns auch Einschränkungen bei der Raumnutzung mit.
Die genaue Teilnehmerzahl können wir nächste Woche bestätigen.
Danach senden wir Ihnen unseren endgültigen Bedarf.

Watch out
“Welche Ausstattung steht im Raum bereits zur Verfügbarkeit?” → “Welche Ausstattung steht im Raum bereits zur Verfügung?”: The fixed phrase is “zur Verfügung stehen”. Verfügbarkeit (availability) is a real word but does not fit this expression.

Für unseren Workshop benötigen wir Tische für Gruppenarbeit.
“Benötigen” is formal for need. “Für Gruppenarbeit” states the purpose, and the plural “Tische” without article means tables in general.

Welche Ausstattung steht im angebotenen Raum bereits zur Verfügung?
A W-question with “welche” as subject; “steht … zur Verfügung” frames the place. “Bereits” asks only about what exists now.
