The idea
Cancel, justify, point to the result, limit. Fronting the object (Den zusätzlichen Abstimmungstermin) puts the cancelled item in the reader’s focus at once. Inzwischen and schriftlich explain why the meeting is unnecessary. The ihr imperative with nur (“Bitte entfernt nur diesen Zusatztermin”) prevents people deleting the wrong entry. Stattfinden is separable: findet … statt. Offering to collect remaining questions keeps the cancellation cooperative.

“Der Termin am Freitag entfällt, da sich die Frage erledigt hat.” – Neutral and compact; entfallen is the usual verb for a cancelled slot.
“Ich sage unser Zusatztreffen am Freitag ab.” – Direct and personal; absagen is the everyday verb.

Watch out
“Die reguläre Teambesprechung nimmt unverändert statt.” → “Die reguläre Teambesprechung findet unverändert statt.”: The fixed verb is stattfinden. English “take place” leads learners to nehmen, but German meetings and events always finden statt.
