Let the other person know promptly when an agreed time no longer works.
The idea
Identify the original appointment, apologise and say 都合が悪くなりました if your availability has changed. Propose an alternative with 月曜日の午後はどうですか and request a reply; include an exact date and time when arranging a real appointment.
| Part | Example |
|---|---|
Examples
Sorry, I would like to change our Friday appointment.
That day no longer works for me.
How about Monday afternoon?
I can come if it is in the morning.
Could you change it for me?
I look forward to your reply.

Watch out
A suggested replacement is not confirmed until the other person agrees. Check the date, time and place; if no alternative works, ask for their availability rather than assuming.
